Texas Exes Events Intern, Fall 2026-Spring 2027
Duties:
Assist the Texas Exes Events Team with the coordination and execution of key programs during the Fall 2026–Spring 2027 academic year, including Ring Week, Ring Celebration, six football tailgates, Lunchtime Lectures (both in-person and virtual speaker series), and three award galas. This is a paid internship ($10/hour) requiring an in-office presence at least three days per week, totaling up to 15 hours weekly. Weekly hours will be adjusted based on event's needs.
Specific duties may include:
- Solicit quotes from vendors and partners.
- Communicate with vendors, partners and co-workers regarding event details or tasks.
- Pull reports, update event campaigns and/or perform research tasks in Texas Exes’ customer relationship management database (Salesforce).
- Design and print name tags, table tents and/or other signage as events require.
- Assist with event set up including check-in table set up, décor, signage, etc.
- Work events as assigned. 4 required events including Ring Celebration--both fall (Nov 6) and spring, Distinguished Alumnus Awards (Nov 20), and Longhorn 100 (April 30).
- Assist events team with marketing or promotional coordination tasks.
- Assist with event research tasks as assigned.
- Gather and track event invoices, code to correct GL, and submit to accounting department.
- Run occasional errands as needed.
- Participate in event planning meetings and post event debrief meetings.
- Other duties and projects as assigned.
Expected Learning Outcomes: (min. of 3)
- Student will see and participate in the entire process of planning and execution of events.
- Student will be exposed to budget and invoice management processes and procedures.
- Student will have the opportunity to oversee a Lunchtime Lecture event from start to finish.
- Student will assist with ‘day of’ event management for at least 4 events per semester.
What will student know or be able to do (after the internship):
Student should be able to plan events, define a simple event budget, solicit vendor quotes and communicate with a variety of stakeholders such as vendors, attendees, co-workers, alumni, and students. Student should also be able to do initial troubleshooting or problem-solving during events or pre-planning activities.
Required Skill Set:
- Organizational skills, LOVE making lists and following up on tasks.
- Be articulate and comfortable communicating with a variety of stakeholders such as vendors, co-workers, alumni, students and attendees in-person, via phone, email or text.
- Have an open and welcoming nature/ability to make guests feel welcome.
- Be comfortable interacting with attendees and directing them to event locations, restrooms, etc.
- Intermediate level user – Microsoft Office products including Word, Excel.
- Have some experience with Microsoft Word Mail Merge for creating/printing name tags, envelopes, labels, etc.
- General internet search skills.
- Basic understanding of budgeting and accounting principles.
Desired Skills:
- Have experience working with CRM software or databases.
