Development Coordinator
The Texas Exes, the alumni association for The University of Texas at Austin, announces the immediate opening for the full-time, non-exempt position of Development Coordinator.
Position Overview
The development coordinator supports the development team in various capacities and is responsible for the integrity of communications with donors by ensuring efficient, accurate and timely correspondence.
Major Job Functions
- Conduct research on prospective donors and report information to development team
- Maintain and reconcile gift history in iMIS and VIP databases
- Identify and code gifts and volunteer involvement information in databases
- Create and maintain electronic files for all endowments
- Assist with all endowment compliance for Association funds held with UT System Report all scholarship recipient award information to the University
- Prepare and coordinate all pledge reminders, tax receipts and acknowledgements for all Association gifts using Crystal Reports
- Coordinate donations and pledges with accounting department
- Respond to phone calls and email correspondence to assist donors with various requests
Essential Job Requirements
- Strong analytical skills
- Experience working with databases, preferably VIP and/or iMIS
- Strong written communication skills to compose, edit, and proof printed materials directed to a college-educated population
- Ability to interact with varied ages, personalities, and status levels (donor, alumni volunteers, professional peers, and students)
- Strong verbal communication skills
- Computer literacy adequate for word processing, spreadsheets, data entry, data analysis and report generation
- Ability to occasionally travel to various locations to coordinate special events or other meetings
- Ability to attend occasional evening and weekend events

Staff Accountant
The Texas Exes, the alumni association for The University of Texas at Austin, announces the immediate opening for the full-time, exempt position of Staff Accountant.
Position Overview
The staff accountant is responsible for applying the principles of accounting to the daily activities of the accounting office, adhering to standard accounting principles, maintaining the accuracy and integrity of the general ledger, and assisting the VP of finance with the preparation and distribution of financial reports.
Major Job Functions
- Monthly review and reconciliation of general ledger accounts in MIP accounting software (Sage Fund Accounting)
- Distribute monthly general ledger reports to department heads, and provide detail account information as needed
- Generate accounts receivable entries and work with third party company on collections, as needed
- Coordinate donations and pledges with the development department to ensure payments are properly applied and entered into the iMIS database
- Monthly gift upload to VIP database
- Maintain fixed assets database
- Reconcile daily lockbox batches
- Perform a portion of the department’s data entry to maintain proper segregation of duties
- Review daily batches entered by accounting administrator
- Perform backup for accounts payable processing
- Assist VP of finance with the following duties:
- Annual budgeting process
- Monthly financial statement preparation
- Annual audit coordination
- Annual tax filing preparation
- Preparation and distribution of annual investment statements
- Other duties as assigned
Essential Job Requirements
- College degree preferred
- Knowledge of GAAP (Generally Accepted Accounting Principles), as well as prudent procedures and internal controls
- 3+ years experience working with accounting software, preferably MIP
- Extensive experience working with Excel spreadsheets
- Highly dependable and self-motivated
- Strong analytical skills
- Strong written and oral communication skills
- Ability to attend and work occasional evening and weekend events

Student Relations Coordinator
The Texas Exes, the alumni association for The University of Texas at Austin, announces the immediate opening for the full-time, exempt position of Student Relations Coordinator.
Position Overview
The Student Relations Coordinator creates a connection with prospective and current students, faculty, staff, and alumni using events, programs, and leadership development opportunities that ultimately foster a lifetime loyalty to UT and the Texas Exes.
Major Job Functions
- Attract, train, and supervise students as part of our various student leadership positions
- Support the day-to-day operations of the Texas Exes Student Chapter (i.e. coordinate event logistics, communicate with UT departments, advertise/market initiatives to students, manage budget and plans, etc.)
- Coordinate six Summer Orientation BBQ events with New Student Services
- Assist in marketing for student-targeted association events and programs as well as representing the Texas Exes at student-related campus events and/or meetings.
- Foster positive relationships with UT students through involvement in programs including the Texas Exes Student Chapter, Camp Texas, and the Spirit & Traditions Council
- Supervise student membership records and maintain the Texas Exes Student Chapter membership database
- Coordinate the logistics of Camp Texas including executive team and counselor selection, counselor trainings and retreats, camper registration, marketing, and five camp sessions

Other Skills/Abilities/Success Factors
- Ability to generate excitement surrounding the Texas Exes Student Chapter programs and to contribute to the awareness of Texas Exes on the UT campus through these programs.
- Ability to creatively enhance existing events, decrease the cost of programs, and promote/market in an effective way.
- The Student Relations Coordinator is more or less on the time schedule of the student, and must be available at all times to offer guidance and direction while overseeing their projects and events.
